Handling of Documents
- Reproduction of documents: Readers may request up
to three items at any one time. Please note that between
12.30 p.m. and 1.15 p.m. no documents are delivered, except
for one document to newcomers. No documents are delivered
after 3.45 p.m. Documents must be returned to the production
counter.
- Access to Documents is conditioned by:
- A closure period of 30 years - applies to all public
documents.
- A closure period of 80 years - applies to
confidential material
- Care of documents: Only pencils can be used in the
reading room. No mark of any kind shall be made on
any document,
and readers must not lean upon a document or place
on it the paper on which they are writing. The greatest
care
must be exercised in handling documents and turning
of
pages. Foam book-rests should be used in line with
the instructions available in the reading room. Bundles
of
loose paper must be kept in the order in which they
are found.
If documents are found by a reader to be disarranged,
this fact should be brought to the attention of the
officer in charge.
- The officer in charge has the authority to decide:
- Whether a document or a group of documents is sufficiently
robust to be handled and whether a document which is
too fragile to be consulted, ought to be withheld.
- Whether
photocopies can be made from volumes which in his/her
opinion are too fragile to withstand the process.
- Whether
a microfilm or other surrogate should be used rather
than the original.
